Description
Most client mix-ups are not a communication problem. They are a version problem: three texts, an email and a phone call, and nobody sure which one is current.
Guide Trip & Client Handoff keeps one record per trip and produces two documents from it. The client brief carries your business name, the day and time the way people read them, where to meet, what to bring, what you supply, your terms and any questions for the party. Your private run sheet adds everything the client should not see: equipment counts, the sources you checked for access, rules and conditions, holds, preferences and notes.
What it does
- A client brief under your name. Enter your business name once and it heads every brief. Hook the Horizon’s name does not appear on what your clients receive.
- Private stays private. Notes, preferences, equipment and source checks never reach the client brief. Anything you type into a client-facing field is shared, and every field label says which kind it is.
- Versions that mean something. Printing, downloading or copying a brief issues that version. The next change to anything the client can see starts a new version; editing your private notes does not.
- A change message instead of a resend. When plans move after a brief went out, it lists only what the client can see that changed, each with its old value, ready to paste into a text or email.
- Times that survive clock changes. Choose the timezone where you meet and each time is stored with the correct offset for that date. Clients read “Sunday, September 20, 2026, 8:00 AM to 12:00 PM MDT”, not a timestamp.
- Marked DRAFT until it is ready. While a check is unresolved or equipment is short, the client brief says DRAFT without revealing your internal holds.
- Equipment and clashes. One-per-person or shared quantities; raise the headcount and a shortage shows. Overlapping trips for the same guide in the file are flagged.
- Acknowledgment. Record who confirmed which version. It shows as outdated as soon as something they can see changes.
Who it is for
Independent and small-outfit fishing guides who prepare trips on a laptop or phone and send clients their details by text or email.
Who should not buy it
If your booking platform already sends clients their trip details and change notices, this duplicates it. It is not a booking system, a calendar, a payment tool or a client database.
What is in it
- The working file: a single self-contained web page (.html) that works offline. Your trips stay in that browser on that device, with a JSON backup you control.
- The Letter print edition (.pdf), 6 pages: the setup guide, then a fictional worked example’s client brief, private run sheet and change message.
- A fictional worked example inside the file, so you can see a finished preparation before you enter your own.
Format and devices
Open the file in a current browser on a laptop or phone. It was tested in the Chrome and Safari engines, on a desktop screen and on a 390-pixel phone screen, opened from the device with no connection. There is no app, no account and no server. Email and file preview panes may not run it; save it first.
What it will not do
It does not fetch conditions, confirm access or permits, or check regulations: it records the source you checked and when. It does not sync between devices or with a calendar, send anything for you, or prove delivery; an acknowledgment is your own record, not a signature. Hook the Horizon prepares nothing on your behalf.
